Who Is Responsible

The data controller is Lysaker WCS (org. no. 924 440 910), organiser of The Cosmic Connection, represented by Event Director Robin Lysaker. For any privacy questions or requests, email thecosmicconnectionwcs@gmail.com.

This Website

This website does not handle registration or payments and does not store registration data. It only processes personal data in these ways:

• Contact form — your name, email address, and message. The message is sent by our email provider (Resend) to our inbox (Google Gmail) and is only used to answer you (legitimate interest, GDPR Art. 6(1)(f)).
• Hosting — the site is hosted by Vercel. Like any web server, it briefly logs technical data such as your IP address, browser type, and the pages requested, to deliver the site and keep it secure.
• Fonts — the site's fonts are loaded from Google Fonts, which means your browser sends your IP address to Google when a page loads.
• Analytics — only if you accept analytics cookies, Google Analytics records how the site is used (pages visited, device and browser type, approximate location). We only look at this in aggregate (consent, GDPR Art. 6(1)(a)).

Registration, Payments & Hotel Bookings

All registration, payments, and hotel bookings for The Cosmic Connection are handled on DancePoint. Your registration data is stored there, and DancePoint's privacy policy explains what is collected, how long it is kept, and how to use your rights. Card details are handled by the payment provider and are never seen by us.

We use your registration data to run your registration, check-in, hotel booking, and competition entries, and to send you essential information about the Event (contract, GDPR Art. 6(1)(b)). Accessibility or dietary needs you choose to share are only used to make arrangements for you, and are shared with the venue only where necessary.

Competitions & Results

If you compete, your name, WSDC Competitor ID, contests entered, scores, and placements are used as follows:

• Scoring.dance — our competition scoring system. Results, including your name, placements, and score reports, are published there and stay available for at least 30 days, as required by the WSDC.
• World Swing Dance Council (WSDC) — for WSDC Jack & Jill contests we must send the WSDC the list of competitors, finalists' WSDC IDs, placements, and any petitions. Results are added to the public WSDC Points Registry.

We do this because it is required to hold a WSDC event (legitimate interest, GDPR Art. 6(1)(f)). Competition results are kept permanently by the WSDC and Scoring.dance as a public record.

Photos & Video

Official photographers and videographers photograph and film the Event, including competitions, and we use this material on our website and social media (legitimate interest, GDPR Art. 6(1)(f)). If you do not want to appear in promotional material, tell us at registration or check-in, or email us afterwards, and we will remove published images of you where possible.

Who We Share Your Data With

We do not sell your personal data. Besides DancePoint, Scoring.dance, and the WSDC described above, we use these service providers, who process data on our behalf:

• Vercel — website hosting.
• Resend — delivers contact form messages.
• Google — email (Gmail), fonts (Google Fonts), and, if you accept, analytics (Google Analytics).

Some of these providers are based in the United States. Transfers outside the EU/EEA are covered by the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses. We may also share data with authorities where the law requires it.

How Long We Keep Your Data

• Contact form messages are kept in our email inbox for as long as they are relevant to your enquiry.
• Registration data on DancePoint is kept as described in DancePoint's privacy policy.
• Accounting records are kept for 5 years, as required by the Norwegian Bookkeeping Act (bokføringsloven).
• Analytics data is kept by Google Analytics for up to 14 months.
• Competition results are a permanent public record held by the WSDC and Scoring.dance.

Your Rights

You have the right to:

Email thecosmicconnectionwcs@gmail.com to use any of these rights. We will answer within 30 days. For registration data, you can also manage your account on DancePoint. Results already reported to the WSDC must be corrected or removed through the WSDC directly.

If you think we handle your data wrongly, you can complain to the Norwegian Data Protection Authority, Datatilsynet.

Cookies

This website does not use advertising cookies. The only cookies it sets are Google Analytics cookies, and only after you click "Accept" in the cookie banner:

• _ga — distinguishes visitors. Expires after 2 years.
• _ga_<ID> — keeps track of your visit (session). Expires after 2 years.

Your choice itself is saved in your browser's local storage (not a cookie) so we don't ask again. If you decline or later withdraw consent, analytics stops and the Google Analytics cookies are removed.

Changes to This Policy

We may update this policy. The current version is always on this page, with the date of the last update shown below. Material changes will be emailed to registered attendees.
