By purchasing a pass or registering for The Cosmic Connection (hereinafter "the Event"),
you agree to the following terms and conditions in full. Please read them carefully before
completing your registration.
01 Booking & Payment
- Your spot at the Event is only secured upon receipt of full payment. Incomplete payments do not constitute a confirmed registration.
- Couple or partnership registrations require both individuals to complete their own payment. One person's payment does not hold a place for the other.
- Passes are personal and non-transferable by default. Transfers to another person are permitted only with prior written notification to the organisers. The new holder assumes all obligations under these terms.
- All prices are listed inclusive of any applicable taxes unless otherwise stated.
- The organisers reserve the right to adjust pricing tiers. The price paid at the time of registration is the confirmed price for that pass.
02 Cancellation & Refunds
The following refund tiers apply to pass cancellations:
Full Cancellation before
1 November
50% Cancellation between
1 Nov – 1 Dec
None Cancellation after
1 December
- All cancellation requests must be submitted in writing to the organisers.
- After the 1 December deadline, no refunds will be issued. You may, however, independently transfer or sell your pass to another person, provided the organisers are notified in writing of the new holder's name and contact details before the Event.
- Refunds, where applicable, will be processed within 14 business days of receiving the cancellation request.
03 Competition Withdrawals
- Competition entry fees are separate from event pass fees and subject to their own refund rules.
- Competition entries cancelled before 1 December are eligible for a full refund of the competition entry fee.
- Withdrawals after 1 December forfeit the competition entry fee entirely, regardless of reason.
- In the case of injury or documented medical emergency, the organisers may, at their sole discretion, offer a partial credit toward a future event.
- Competition schedules and divisions are subject to change. The organisers reserve the right to merge, cancel, or restructure divisions where participation numbers require it, with no entitlement to refund on that basis alone.
04 Photography & Media
- By attending the Event, you consent to being photographed and/or filmed by official Event photographers and videographers.
- This material may be used by the organisers for promotional, marketing, and archival purposes across any media, including social media and the Event website, without further compensation or permission.
- If you have concerns regarding your image or footage, please notify the organisers or a staff member upon arrival. We will make reasonable efforts to accommodate your request.
- Attendees filming or photographing others must do so respectfully and in compliance with the Event's Code of Conduct. Recording in changing rooms, bathrooms, or other private spaces is strictly prohibited.
05 Health & Safety
- Participation in dance activities carries inherent physical risk. You attend and participate entirely at your own risk.
- The organisers, venue, staff, and volunteers accept no liability for personal injury, illness, or loss of property sustained during the Event, except where such liability cannot be excluded by law.
- If you are experiencing symptoms of a contagious illness — including but not limited to fever, respiratory illness, or gastrointestinal illness — you may be denied entry to the Event. No refund will be issued in such circumstances unless it falls within the standard cancellation window.
- You are responsible for ensuring you are in suitable physical condition to participate. If in doubt, please consult a medical professional prior to the Event.
- A first-aid point will be available on-site throughout the Event. Staff can direct you to it at any time.
06 Minors
- Attendees under the age of 18 must have explicit written consent from a parent or legal guardian prior to registration.
- The organising team may request a signed liability waiver from a parent or guardian for any minor participating in competitions or workshops.
- Minors must be accompanied by a responsible adult at all times during evening social dances and late-night programming.
- The organisers reserve the right to contact a parent or guardian at any time in relation to a minor's wellbeing or conduct at the Event.
07 Accessibility & Special Requirements
- We are committed to making the Event as accessible and inclusive as possible.
- If you have accessibility needs, dietary requirements, or other special considerations, please contact us in advance of the Event so that we may make reasonable arrangements.
- While we will make every reasonable effort to accommodate requests received in advance, we cannot guarantee specific accommodations for requests made on arrival.
08 Data & Privacy
- Personal information collected during registration is used solely for the purposes of organising and communicating about the Event.
- Your data will not be sold to third parties. It may be shared with third-party service providers (such as payment processors or venue staff) only to the extent necessary for Event operations.
- By registering, you consent to receiving event-related communications, including schedule updates, logistics information, and post-event follow-ups.
- You may request access to, correction of, or deletion of your personal data at any time by contacting us directly.
- Full details of how we handle your data are set out in our Privacy Policy.
09 Code of Conduct
The Cosmic Connection is built on the belief that dance is a space of joy, trust, and
mutual respect. All attendees are expected to uphold these values throughout the Event.
- Treat all attendees, staff, teachers, and volunteers with respect. Harassment, discrimination, or intimidation of any kind will not be tolerated.
- Always seek and respect consent — on and off the dance floor. A "no" or non-verbal hesitation is always sufficient reason to stop.
- Alcohol consumption is permitted in designated areas only. Intoxicated behaviour that endangers or disturbs others will result in removal from the Event.
- Illegal substances are strictly prohibited on Event premises.
- Any attendee found to be in violation of the Code of Conduct may be removed from the Event immediately and without refund. The decision of the organisers is final.
- If you witness behaviour that makes you or others uncomfortable, please report it immediately to any member of staff. All reports will be handled with discretion and care.
10 Force Majeure
- The organisers shall not be held liable for any failure or delay in fulfilling their obligations where such failure arises from circumstances beyond their reasonable control — including but not limited to natural disasters, pandemics, government restrictions, venue emergencies, or acts of God.
- In the event of a cancellation or significant alteration caused by force majeure, the organisers will make reasonable efforts to offer either a rescheduled date or a partial refund, taking into account non-recoverable costs already incurred.
- The organisers are not responsible for travel, accommodation, or other costs incurred by attendees in connection with the Event, regardless of the circumstances of any cancellation or change.
11 Changes to These Terms
- The organisers reserve the right to update or amend these terms at any time. Material changes will be communicated to registered attendees by email.
- Continued participation in the Event following notification of changes constitutes acceptance of the updated terms.
