Booking & Payment

• Registration, payments, and hotel bookings are handled on DancePoint. DancePoint's own terms also apply to your use of their platform.
• Your spot at the Event is secured only once full payment for the selected pass has been received.
• For couple registrations, both parties must pay their share before the pass is considered secured. One person's payment does not hold a place for the other.
• Passes are personal. Transfers to another person are allowed but must be registered with the organisers so we have the correct contact and competitor details. The new holder accepts these terms.
• Prices include any applicable taxes unless otherwise stated. The price paid at the time of registration is the confirmed price for that pass.

Cancellation & Refunds

The following refund tiers apply to pass cancellations:

• Cancellation requests must be sent to us in writing, by email or through the contact form.
• Refunds are paid back through DancePoint to the original payment method, within 14 business days of receiving the request.
• After 1 December 2026 no refunds are given. If you can no longer attend, you may transfer your pass to another participant; please let us know the new holder's name and contact details before the Event.
• Event passes are a leisure service for a specific date, so the statutory 14-day right of withdrawal under the Norwegian Cancellation Act (angrerettloven) does not apply. The refund tiers above apply instead.

Competitions & Withdrawals

• The Cosmic Connection is a WSDC event. All contests follow our Competition Rules and the WSDC Registry Event Rules.
• Competition entry fees are separate from pass fees and are non-refundable. If you must withdraw, please notify competition staff as soon as possible.
• Divisions that do not reach the WSDC minimum of 5 Leaders and 5 Followers may be combined with a neighbouring division or cancelled, as described in the Competition Rules. If a division you entered is cancelled and you cannot be moved to another division, your entry fee for that division is refunded.
• Competition results, including your name and WSDC Competitor ID, are published on Scoring.dance and reported to the WSDC Points Registry.

Photography & Media

• Official photographers and videographers photograph and film the Event, including competitions. This material may be used for promotional and archival purposes, including on this website and social media.
• If you do not want to appear in promotional material, tell us at registration or check-in, or email us afterwards. We will remove published images of you where possible. See the Privacy Policy.
• Attendees filming or photographing others must do so respectfully and in line with the Code of Conduct. Recording in changing rooms, bathrooms, or other private spaces is strictly prohibited.

Liability, Health & Safety

• Participants attend at their own risk. The organisers, venue, staff, and volunteers accept no liability for personal injury, loss, or damage to personal property, except where required by law.
• You are responsible for your own health and fitness; do not take part in activities beyond your capability. If in doubt, consult a medical professional before the Event.
• If you feel unwell or infectious, please do not attend. We may refuse entry to anyone showing signs of contagious illness. No refund is given in that case unless it falls within the refund tiers above.
• A first-aid point will be available on-site throughout the Event. Staff can direct you to it at any time.

Minors

• Attendees and competitors under 18 must have consent from a parent or legal guardian.
• Guardians may be asked to sign a liability waiver and remain responsible for their child during the Event.
• Minors must be accompanied by a responsible adult during evening social dances and late-night programming.

Accessibility & Special Requirements

• Please contact us in advance if you have accessibility needs, dietary requirements, or other special considerations so we can make reasonable arrangements.
• We will make every reasonable effort to meet requests received in advance, but cannot guarantee arrangements for requests made on arrival.

Data & Privacy

Registration, payments, and hotel bookings are handled on DancePoint, and your registration data is stored there. This website does not collect registration data. Competition entries and results are shared with the World Swing Dance Council (WSDC) and published on Scoring.dance. By registering, you will receive essential Event communications such as schedule updates and logistics. Read our Privacy Policy for full details.

Code of Conduct & Safety

All attendees must follow The Cosmic Connection Code of Conduct. Harassment, discrimination, or unsafe behaviour will not be tolerated and may result in removal from the Event without refund. The decision of the organisers is final.

Force Majeure

• The organisers are not liable for circumstances beyond their reasonable control, including natural disasters, pandemics, government restrictions, strikes, or venue closure.
• In such cases we will make reasonable efforts to offer refunds, credit, or rescheduling, but cannot guarantee full reimbursement.
• The organisers are not responsible for travel, accommodation, or other costs you incur in connection with the Event.

Changes & Governing Law

• We may update these terms. Material changes will be emailed to registered attendees, and the current version is always on this page.
• These terms are governed by Norwegian law. If a disagreement cannot be resolved with us directly, you can contact the Norwegian Consumer Council (Forbrukerrådet) for mediation, or bring the matter before the Norwegian courts.
